Privacy Policy

1. Introduction
Likha Registry (“we”, “us”, or “Likha”) is committed to protecting your personal information in accordance with the Republic Act No. 10173, also known as the Data Privacy Act of 2012 (DPA) of the Philippines and its implementing rules and regulations. This Privacy Policy explains how we collect, use, store, and protect your data.
2. Information We Collect
We collect the following types of information when you use our platform:
From artists and submitters:
- Full name and email address
- Birth year, nationality, and website (optional)
- Artist biography (optional)
- Artwork details: title, medium, dimensions, year, description, condition
- Artwork photographs submitted for registration
- Provenance and ownership records you provide
From all visitors:
- Browser type, IP address, and device information (via standard server logs)
- Pages visited and interaction data for platform improvement
3. How We Use Your Information
- To create and maintain artwork registry records and digital certificates
- To verify and review submitted artwork documentation
- To issue and display registry numbers and QR-linked certificates
- To communicate with you regarding your submission status
- To maintain and improve the platform
- To comply with legal obligations
4. What Is Public and What Is Private
Likha Registry is a public registry. When an artwork is approved and certified, the following information is displayed publicly:
- Artist name and approved bio
- Artwork title, medium, year, dimensions, and description
- Registry number and certificate issue date
- Artwork photographs submitted for the public record
The following information is kept private by default:
- Artist and submitter email addresses — never publicly displayed
- Current and historical owner names — shown only as “Private Collection” unless the owner explicitly consents to disclosure
- Any internal administrative notes
5. Data Sharing
We do not sell your personal information. We may share data only in the following circumstances:
- With service providers who help us operate the platform (e.g., cloud storage, email delivery), under strict data processing agreements
- When required by Philippine law or valid court order
- In the event of a platform acquisition, merger, or transfer — with advance notice to users
6. Data Retention
Registry records are retained indefinitely as part of the permanent provenance record of an artwork. Personal information associated with withdrawn or rejected submissions is retained for a minimum of 3 years for audit and dispute resolution purposes, then deleted or anonymized upon request.
7. Your Rights Under the Data Privacy Act
Under the DPA, you have the right to:
- Access — request a copy of personal data we hold about you
- Correction — request correction of inaccurate or incomplete data
- Erasure — request deletion of personal data, subject to our legal retention obligations
- Portability — receive your submitted data in a structured, commonly used format
- Object — object to specific processing of your personal data
To exercise any of these rights, email us at hello@likharegistry.ph with “Data Request” in the subject line. We will respond within 15 business days.
8. Data Security
We use industry-standard security measures to protect your information, including encrypted data transmission (TLS), access controls, and secure cloud infrastructure. However, no system is entirely risk-free. We encourage you to use a strong password and report any suspected unauthorized access immediately.
9. Cookies
Likha Registry uses essential session cookies to keep you logged in and to maintain platform functionality. We do not currently use advertising or third-party tracking cookies.
10. Changes to This Policy
We may update this Privacy Policy periodically. We will notify registered users of material changes by email and post the updated date at the top of this page. Continued use of the platform after changes constitutes acceptance.
